Position Overview:
The Recording Secretary is responsible for accurately documenting the proceedings of meetings, maintaining official records, and ensuring clear communication within the organization. This role requires excellent organizational, communication, and writing skills, as well as the ability to work independently and maintain confidentiality.
Key Responsibilities:
1. Meeting Documentation:
• Attend all meetings and record minutes accurately, capturing key discussions, decisions, and action items.
• Prepare and distribute meeting agendas in collaboration with the Chairperson or relevant executive members.
• Ensure the timely distribution of meeting minutes to all relevant parties.
• Maintain a detailed and organized record of all minutes and agendas.
2. Record Keeping:
• Organize and manage official documents, ensuring easy retrieval when necessary.
• Maintain an up-to-date and accurate file of all meeting minutes, agendas, and related documents.
• Ensure compliance with organizational policies regarding document retention and privacy.
3. Communication:
• Act as a liaison between the board or committee members and other staff or members of the organization.
• Assist in the preparation and distribution of official correspondence as needed.
• Ensure that all communications are clear, professional, and timely.
4. Administrative Support:
• Provide administrative support to the board or committee members, including scheduling meetings and coordinating logistics.
• Assist with the preparation and distribution of reports, proposals, and other documents.
• Handle any additional tasks as assigned by the Chairperson or executive members.
5. Compliance and Confidentiality:
• Ensure all records and documentation comply with legal and regulatory requirements.
• Maintain the confidentiality of sensitive information and discussions
