Rural Extension Move Coordinator

Description
A Move Coordinator is an integral part of the move team, providing coordination of the move beforehand and on-call support on the day of a move. The Move Coordinator ensures all moves go smoothly, that volunteer movers and drivers are recruited, and tackles any unforeseen challenges.
Please note: This is a posting for a Move Coordinator in anticipation of Shelter Mover’s extension into rural communities outside of Ottawa, launching this September. Therefore, we would like to secure Move Coordinators, in advance of our launch, to complete the onboarding process by September. The focal point of our expansion is Lanark County, as Carleton Place has one of the main shelters in the area. However, we understand we will probably be servicing areas in Grenville and Renfrew County as well.
Responsibilities
Collect all relevant information from Referring Agency.
Collect all relevant information from Client in a trauma-informed manner.
Provide all move details to relevant volunteers with a strict observance of confidentiality procedure.
Use database to find appropriate volunteer movers (based on location, ability to drive etc.) and email them for support.
Coordinate the date and time of the move and ensure all relevant parties are available and informed.
Reserve move vehicles and ensure all drivers have necessary information to pick up vehicles.
Maintain ongoing connection to Client and/or Referring Agency to respond to any changes needed.
Be available during a move at any time to support Lead Mover if there are any complications during a move.
Electronically file Volunteer and Client Waivers after the move.
Follow the Move Coordination Procedure and all processes within the Move Coordination Manual.
Report back to Operations Manager with full details of move.

Ability to cope with potentially stressful situations.
Strong communication skills.
Access to email and phone.
Ability to be flexible and adaptable to changes.
Additional languages spoken is an asset.
Able to maintain confidentiality and provide trauma informed care to clients.
Other Requirements
Minimum age 18.
Must attend volunteer orientation session.
Complete 2 hour Move Coordinator training.
All volunteers must obtain police background check and sign our Confidentiality agreement.
Have regular check-ins with Shelter Movers staff to support learning and performance management.
